Registration fees and abstract submission

Registration fees include admission, conference materials, meals and coffee breaks. Participants are expected to arrange their own accommodation and travel. Please note that virtual attendance is not possible and the talks will not be livestreamed. For registration fees, please check the registration form.

A letter to support your visa application will be issued, on request, once payment of the registration fee is confirmed.

Confirmation and payment

Registration will be on a first come, first served basis. Your place can only be confirmed after payment of the registration fee. Types of accepted payments are PayPal.

Abstract submission

Abstracts can only be submitted electronically during the abstract submission process. Changes to abstracts until the deadline are possible. Abstracts must be written in English. Maximum length is 2,500 characters (including spaces) – not applicable for invited speakers. It is the author's responsibility to submit a fully finalized abstract. Any errors in spelling, grammar or scientific facts will be reproduced as typed by the author. When submitting your abstract, you can apply for an oral or poster presentation. Notification of the acceptance as oral presentation will be sent out by late July to early August 2025. Acceptance of poster presentations will not be separately confirmed. Abstracts will be assessed by an expert panel of reviewers. Acceptance of the submitted work is at the discretion of the Scientific Committee. The submitting author receives all information concerning the abstract. The submitting author is responsible for the consent of all co-authors and for informing all other co-authors of the status of the abstract. By submitting the abstract, submitters understand that their abstract, including names, is stored electronically and will be published in the abstract book of the conference also in electronic form.

Financial assistance

Limited financial assistance is provided by the organizers in the form of travel fellowships. We will provide up to 4 travel fellowships of €500 to enable the junior researchers to be able to attend the conference. The travel fellowship will cover the cost of travel to the event (airfare, train, bus, taxi, accommodation, visa, and/or registration fees). To apply for travel fellowship please send the submitted abstract to the event and a short letter of motivation (max. 1 page) to Dr. Ömer Copur (oemer.copur@dkfz-heidelberg.de). The letter should contain: 1) the importance of the event for the applicant, 2) how the applicant profits from the event and 3) why financial support is important for the applicant. Application for financial support will not affect the outcome of your registration application.

Reimbursements

Costs will be reimbursed after the meeting only once a reimbursement form and original receipts (from travel costs) have been received.

Accommodation and travel

Conference Venue:

German Cancer Research Center (DKFZ), Im Neuenheimer Feld 280, 69120 Heidelberg

Accommodation is not included in the conference registration fee. Participants are expected to arrange their own accommodation. Conference Venue is located close to the Heidelberg Main Train Station, where convenient hotels can be found nearby.

Travel information

Frankfurt International Airport (FRA) is the closest and most convenient airport for Heidelberg. There are regular shuttle buses (https://frankfurt-airport-shuttles.de/index.php) from the airport to Heidelberg that can be used for your transfers. Long distance bus connections to Heidelberg from the airport and cities can be found through www.busradar.com.

Heidelberg Hauptbahnhof (main train station) is located close to the city centre. It is well connected to the majority of European countries either by express or regional trains.

From the main train station, take streetcar lines 21 or 24 (in the direction of Handschuhsheim) to the stop "Jahnstr." (main building) or "Technologiepark" (building INF 580 / INF 581) or take bus lines 20 or 32 in the direction of Neuenheimer Feld to the stop "Kirschnerstrasse" (main building). Lines 21 and 32 also run from the city center (Bismarckplatz).

If you are travelling by car:

From the A5

At the Heidelberg interchange, change to the A656 in the direction of Heidelberg.

From the A 656 coming from Mannheim:

Follow the highway towards Heidelberg until it ends. Change to the left lane. Get into the left-hand lane at the first set of traffic lights and follow the signs for “Eberbach/HD-Wieblingen/Chirurgie”. Follow the main road, drive under the Neckar bridge (Ernst-Walz-Brücke) and then immediately turn right (direction “Weinheim/Neuenheim/Handschuchsheim”). Turn right at the traffic lights and cross the Neckar, changing to the left-hand lane at this point. At the set of traffic lights after the bridge, get into the left-hand lane (direction “Chirurgie/DKFZ”) and turn into Jahnstraße.

On-site information

Catering

All meals and coffee breaks are included in the registration fee. Please wear your badge at all times when serving yourself. No food or drinks are allowed in the auditorium.

Electricity

In most places the electricity is 220 volts AC (50 cycles). An adaptor and a plug that fits the German socket may be needed for your appliances/laptop (i.e. American, Japanese, etc.).

Health and safety notes

Smoking in DKFZ Buildings is strictly prohibited. Eating and drinking in the Auditorium is not allowed. Please do not enter any restricted areas or the laboratories unless instructed to do so.

If first aid is required, please contact the meeting organizers.

Please remember to bring your own medication, if needed, to the conference.

Internet

Wi-Fi is available at DKFZ network and the event specific password, which will be provided on site. The eduroam network (secure, worldwide roaming access service developed for the international research and education community) is also available.

Photography

During the conference, a Photographer may be taking photos. Taking photos or videos by the participants during the talks is prohibited.

Printing

In urgent cases, we can help to print your documents such as boarding pass/flight ticket. Please send it to D.Wolf@dkfz-heidelberg.de and collect your print-outs at the registration desk.
